Job Description
The main "Administrative Operations Anchor, Facility Management Specialist, Office Coordination Engine & Workplace Services Guardian" in our organisational operations is the Admin Executive Office Operations, Facility Management, Administrative Support & General Services Specialist. While facility managers and administrative directors create office budgets, vendor service-level agreements (SLAs), and high-level operational policies, your main responsibility is to oversee front-office operations, manage office supplies, coordinate facility maintenance, manage vendor relations, and maintain a safe, effective, and seamless work environment. As the "Guardian of Office Efficiency, Facility Integrity, Administrative Compliance, and Vendor Coordination," you assume direct responsibility for optimising internal office procedures and boosting productivity in the workplace.
Responsibilities
Office Administration & Day-to-Day Operations: Manage incoming and outgoing communications, oversee daily front-office operations, take care of visitor protocols, and make sure that all office divisions run smoothly.
Facility & Building Maintenance Management: To maintain a hygienic, secure, and professional workplace, organise regular office maintenance, HVAC, electrical, and plumbing repairs, housekeeping, pest control, and security operations.
Vendor management and procurement include managing petty cash, negotiating service contracts, assessing vendor performance in relation to SLAs, liaising with outside vendors, and processing administrative invoices for prompt payment.
Inventory & Asset Management: Conduct regular inventory audits, keep precise records of office supplies, stationery, furniture, and IT/non-IT assets, and control reordering levels to avoid stockouts.
Travel, Accommodation, and Event Coordination: Plan itineraries for both domestic and international travel, make reservations for flights and hotels, handle transportation, and organise logistics for corporate events, workshops, and internal business meetings.
Skills:
Office Operations & Administrative Management: In-depth knowledge of broad corporate administrative practices, workplace safety regulations, facility operations, and front-office administration.
Vendor Management & Negotiation: Demonstrated capacity to oversee vendor relationships, examine service contracts, bargain over costs, and assess the calibre of contractor services.
Asset & Inventory Control: Practical experience in inventory reconciliation, supply stock level management, petty cash register upkeep, and corporate asset tracking.
Event & Travel Logistics Management: Excellent ability to plan company events, manage hotel and taxi reservations, and arrange corporate travel schedules.
