Join as Back Office Executive to Be Part of Our Team Job Description Our organisational division's main "Operational Engine" and "Administrative Compliance Guardian" is the Back Office Executive. Your main responsibility is to plan, carry out, and protect the intricate network of administrative workflows, document validation pipelines, transaction reviews, and interdepartmental communications that take place behind the scenes, while client-facing teams drive sales pipeline activities and front-office representatives handle urgent enquiries. This includes organising electronic and physical record vaults, executing operational requests, confirming client onboarding paperwork, and coordinating transactions with corporate compliance regulations. As the "Guardian of Administrative Turnaround Time (TAT), Document Security, Operational Compliance, and Data Integrity," you take direct responsibility for converting disorganised business inputs into operational files that are well organised and audit-ready.

Responsibilities: Administrative Workflow Processing: Ensure full adherence to standard operating procedures by reviewing, validating, and processing incoming daily operational files, service requests, and internal transaction logs. Document Verification & KYC Auditing: Before system approval, examine and audit provided client files, contract documents, or registration paperwork to confirm completeness, validate signatures, and identify inconsistencies or missing components. System Records & ERP Synchronisation: Use Enterprise Resource Planning (ERP) and Customer Relationship Management (CRM) tools to enter, update, and manage vital business profiles, inventory information, vendor indices, and transaction variables. Archiving & Document Lifecycle Management: To ensure prompt document recall for audit teams, sort, index, and arrange digital and physical assets into logical, extremely secure file directory trees. Inter-Departmental Operational Liaison: Work closely with finance teams, logistics coordinators, and front-office employees to settle processing conflicts, make account statuses clear, and speed up pending approvals.

Skills: Superior Organisational and Administrative Skills: Excellent ability to handle active work priorities without losing concentration, organise numerous documents, and create tidy file systems. Careful Document Verification & Auditing Insight: The capacity to quickly identify inconsistencies, missing validations, or small spelling errors by scanning documents side by side with database records. Quick System Navigation and Multitasking: Easily switch between enterprise ERP solutions, email systems, file management platforms, and dual screens. Professional Written Communication: To connect with internal departments and create process summaries, one must possess clear, courteous, and professional written skills.
